The most expensive minutes in your week
If you run a restaurant or a shop, you know the scene. Friday evening, a line at the counter, and the card reader starts spinning. Someone reboots it. Someone hunts for the cash drawer key. Half the line quietly puts things back and leaves.
Card payments fail so rarely at big chains that customers treat a working reader as a law of nature. When yours goes down, they do not blame the internet. They blame the business. The good news: most of these outages are preventable with a few unglamorous fixes that cost less than one bad Friday.
Why card readers actually fail
The reader is usually the innocent party. A card payment travels a chain: the reader talks to your wifi or router, the router talks to your internet modem, the modem talks to your internet provider, and the provider carries the transaction to the payment processor.
Most outages happen in the middle of that chain. The wifi is overloaded, the router is a consumer box that has not been restarted since it was installed, or the internet connection itself dropped. The processor being down is the rarest cause, and the reader being broken is rarer still. This matters because it tells you where to spend: on the network, not on a fancier terminal.
Give the payment system its own lane
The most common self-inflicted wound I see is one wifi network doing everything: the POS, the office laptop, the security cameras, the kitchen tablet, and every customer who asks for the wifi password.
The fix is called network segmentation, which simply means splitting your network into separate lanes so traffic in one lane cannot crowd another. In practice: your card readers and POS terminals get their own network, staff devices get a second, and guests get a third that touches nothing else. A business-grade router that does this properly runs roughly 150 to 500 dollars, and a competent IT person can set it up in an afternoon.
Segmentation is also a security matter. Payment systems sharing an open network with guest devices is exactly the kind of setup card-industry rules exist to prevent.
Failover internet: the thirty-dollar insurance policy
Even a perfect internal network dies when your internet provider has an outage. The answer is a failover connection: a second internet source, usually a cellular modem on a 4G or 5G data plan, that the router switches to automatically when the main line drops.
A router with failover support plus a data plan typically costs 20 to 50 dollars a month. Done right, the switchover happens in seconds and the person at the register never notices.
Many payment processors also offer an offline mode that stores transactions and submits them when the connection returns. Know how yours works and turn it on deliberately, but treat it as the last resort, because offline transactions can be declined later, and that loss lands on you.
What vendor support will and will not do
Here is the reality of a payment outage: the POS vendor's support line will tell you it is a network issue, and your internet provider will tell you the connection is fine. Both are following their script, and neither owns your problem.
Protect yourself with three things. Keep a one-page sheet taped inside a cabinet listing your internet provider, account number, POS vendor, support numbers, and which box is which, so anyone on shift can make the calls. Label the router, the modem, and any switches with what they are. And decide in advance who your IT person is, whether that is a provider on retainer or a local firm you can call, because the middle of a rush is the wrong time to shop for one.
